The Division of Endocrinology, Metabolism & Diabetes, Department of Medicine is seeking an Administrative Assistant to work under the direction of the Division Administrator and Division Head. This position is responsible for administrative and technical support for the Division of Endocrinology, Metabolism & Diabetes and the Division Head.
Examples of work performed:
Provide administrative assistance to the Division Head that includes: calendar management, meeting arrangement, travel arrangement; the Division Administrator. and other faculty as assigned.
Plan and facilitate events for guest speakers, recruitment candidates, and division official functions including applicable travel and expense reconciliation.
This position provides first-line contact to the division as well as the general administrative tasks routine to an academic medical work unit.
Open, sort and distribute incoming correspondence.
Adhere to current financial policies and procedures; independently seek training and guidance on new policies and procedures.
Reconciles Endo specific / routine office invoices in University and CU Medicine systems.
Coordinate divisional level meeting(s), including: compiling agendas; handling related correspondence and communications (both at the individual and campus wide levels); and composing minutes as necessary.
Responsible for maintenance of the division copy machine including training of staff members and new hires.
Responsible for the office supplies by maintaining inventory and ordering for the division and staff.
Responsible for expense reimbursements for division faculty and staff by creating and/or assisting with the creation of expense reports to reconcile charges on procurement cards and submit reimbursement requests through Concur.
Assists with PowerPoint slide preparation for division specific initiatives.
Contact person and organizer for other personnel within the division of Endo for conference rooms.
Act as liaison for facilities request and tracking
Performs other administrative and office management duties as required

Salary and Benefits:
The hiring range for this position begins at $ 42,336 and is commensurate with skills and experience.

*Minimum Qualifications: *
Three years of administrative support experience that included calendar management and event planning.
Substitution:* *College or university course work, appropriate to the work assignment, may substitute for the experience on a year-for year basis.
Experience providing administrative and technical assistance to faculty and staff within a higher education and/or medical education environment.
Experience working with CU systems such as Marketplace and Concur.
Bachelor’s degree from an accredited college or university in a business or health related field.
Process improvement experience.
Ability to communicate effectively, both in writing and orally.
Ability to listen and record accurate information.
Ability to establish and maintain effective working relationships with employees at all levels throughout the institution.
Outstanding customer service skills.
Excellent research skills and attention to detail.
Strong sense of urgency and problem solving skills combined with the ability to prioritize projects.

Strong technical skills in Microsoft Office Suite and Adobe
