The Department of Medicine has an opening for a full-time University Staff (unclassified) Administrative Assistant III (Administrative Coordinator) position. Working hours is 8:00 am - 5:00 pm, Monday through Friday. This position reports directly to the Business Services Manager for the Department of Medicine.

Nature of Work:

This class describes the fourth administrative assistant level. Positions in this level have the authority to design and implement, without prior approval, the general office and administrative operations to accomplish the unit's work. Work includes, but is not limited to, deciding what operations will be performed and how processes will be implemented; creating and revising office procedures and writing office procedure manuals, designing forms; establishing general office record systems and resource libraries, including content of files and publications, coding and maintenance schemes, circulation and retrieval, production, access, and disposal; compiling and formatting the content for program materials, such as annual reports and newsletters; accounting for the unit’s allotted funds by authorizing (signing) operating expenditures for such things as office supplies, calculating estimated office operating expenses for the annual budget request; and, designing the physical layout of the unit’s work area. Some positions in this class may function as work leaders who are partially accountable for the work product of at least two full-time equivalent positions.

This position will provide administrative support to the Executive Vice Chair for the Department of Medicine. This position will serve in a cross-functional environment and will be responsible for scheduling, maintaining records, expense reimbursements, travel coordination, and other administrative functions.

Examples of Work Performed:

  • Schedule meetings and prepare required materials (includes ordering food and reserving rooms).

  • Assist Executive Vice Chair with travel needs by coordinating travel arrangements such as booking airfare, hotel and rental cars when necessary for attendance and conference both in and out of state.

  • Manage calendar for the Executive Vice Chair.

  • Plan and facilitate events for guest speakers, retreats, recruitment candidates, and official functions including applicable travel and expense reconciliation.

  • Create agendas for Executive Vice Chair meetings and when applicable take minutes.

  • Provide administrative support to Department of Medicine sponsored programs including the Faculty Advancement Office.

  • Other duties as assigned.

Salary and Benefits:

Hiring salary has been established at $42,336.

This position is eligible for overtime compensation

Minimum Qualifications:

  • Three years of general clerical experience.

  • Substitution: College or university course work appropriate to the work assignment, may substitute on a year for year basis for the experience.

Preferred Qualifications:

  • Bachelor’s degree.

  • 2 years of experience at an academic institution.

  • Experience with booking travel arrangements.
