Key Responsibilities :

Degree Audit 50%:

  • Assists the Associate Registrar with establishing degree audit policies, software, and procedures by organizing and participating in information-gathering activities with the schools, colleges, and programs, helping to identify graduation requirements, and informing the establishment and continuous improvement of operating policies and procedures concerning degree audit maintenance and exceptions.

  • Collaborates with schools, colleges, and programs to create, update, and maintain degree audits based on changes in curriculum, course completion, or transfer credit evaluations.

  • Encodes degree audits into the university's degree audit system with precision and attention to detail.

  • Performs continuous testing of encoded data and software, diagnoses issues, and coordinates the resolution process.

  • Creates and maintains detailed documentation of degree audit procedures, encoding information, and communications for record-keeping and audit trail purposes.

  • Participates in training sessions and professional development activities to stay updated on changes in degree audit procedures and software.

  • Represents CU Anschutz on the CU system-wide Degree Audit module team.

  • Generates reports and provides data analysis as needed for Degree Audit information to support academic advising, registrar services, institutional reporting requirements, accreditation reviews, audits, and compliance assessments related to academic records.

Transfer Credit Oversight 35%:

  • Assists the Associate Registrar with establishing transfer credit articulation policies, software, and procedures by organizing and participating in information-gathering activities with the schools, colleges, and programs, helping to identify transfer credit equivalencies, and informing the establishment and continuous improvement of operating policies and procedures concerning transfer credit articulation.

  • Collaborates with academic departments to assess the relevance and applicability of transfer credits towards specific degree programs.

  • Evaluates and articulates transfer credit requests from incoming students in accordance with established policies, procedures, and state-wide articulation agreements, and maintain transfer credit rules and equivalencies in the transfer credit software.

  • Creates and maintains detailed documentation of transfer credit procedures and communications for record-keeping and audit trail purposes.

  • Participates in training sessions and professional development activities to stay updated on changes in transfer credit articulation procedures and software.

  • Participates in and helps organize testing and upgrades for the degree audit and transfer credit software.

  • Represents CU Anschutz on the CU system-wide Transfer Credit module team.

  • Generates reports and provides data analysis as needed for Transfer Credit information to support academic advising, registrar services, institutional reporting requirements, accreditation reviews, audits, and compliance assessments related to academic records.

Registrar's Office Administrative Support 15%:

  • Provides back-up support for Curriculum Management, Catalog, and Graduation Processes.

  • Adheres to university policies, academic regulations, and data privacy standards in the handling and encoding of student academic records.

  • Collaborates with the CU Denver Registrar's Office, CU system staff, and staff at CU Boulder and UCCS to coordinate processes that utilize shared software or business-processes, paying special attention to inseparable components between CU Anschutz and CU Denver.

  • Perform other Registrar Office duties may be assigned as appropriate to the level of position.

Qualifications:

Minimum Qualifications:

  • A bachelor's degree from an accredited institution of higher education.

  • Substitution : A combination of education and related technical/paraprofessional experience may be substituted for the bachelor's degree on a year for year basis.

  • 2 years of professional level registrar, academic and/or student services experience.

Applicants must meet minimum qualifications at the time of hire

Preferred Qualifications:

  • Experience with PeopleSoft Campus Solutions or other student information systems.

  • Experience maintaining critical data (academic, medical, finance, etc.).

  • Experience working with curriculum and catalog software.

  • Experience with degree audit and transfer credit software.

  • Prior experience within a Registrar's Office.

  • Experience compiling reports.
