The Department of Radiology has an opening for a full-time, University Staff (unclassified) Fellowship Coordinator (Academic Services Senior Professional) position.

_Nature of Work: _

The Pediatric Radiology Fellowship Coordinator (FTE 1.0), under direction from the Director of Finance and Administration, and Pediatric Fellowship Program Fellowship Director is primarily responsible for coordinating the Pediatric Radiology Fellowship Program at Children’s Hospital Colorado. There is currently one ACGME approved pediatric radiology program and one non-ACGME approved program. The department is also in the process of adding two additional non-ACGME approved programs. The Coordinator will oversee the fellowship, as well as resident recruitment process, curriculum, schedules, business activities, budget and policies and procedures. The Coordinator will provide essential communication and networking for the effective functioning of these fellowship programs. The Coordinator will represent the Pediatric Radiology Fellowship on behalf of the Graduate Medical Education (GME) Office, the Department of Radiology, the School of Medicine, UCD and the University of Colorado.

The Radiology Fellowship Coordinator will not have any supervisory duties, although the Coordinator will perform a variety of functions on behalf of the fellows and residents sometimes performed by a supervisor. This includes active participation in the fellowship and resident recruitment process, processing performance evaluations, collecting of time records, coordinating schedules, and processing graduation materials. The Coordinator will act as a resource to prospective, current and past fellows and medical students of the Radiology education programs.

_Examples of Work Performed:_Duties and responsibilities of this position include, but are not limited to the following:

Recruitment & Evaluations:

  • Manages all aspects of the fellowship recruitment process.

  • Provides up-to-date information to the department web master on the fellowship programs as appropriate for maintenance of the department web site.

  • Fields prospective fellow information requests primarily by email and phone.

  • Establishes interview days for prospective fellows.

  • Coordinates faculty interviews, space, means, transportation, and in some cases, housing and other arrangements for prospective fellows.

  • Gathers and assembles informational packets with school, program, and community information.

  • Manages fellow evaluations for each core lecture, fellow evaluations of faculty, quarterly faculty evaluations of other fellows, end of year fellow evaluations of the program.

  • Manage the fellow fluoroscopy evaluation by parent/child (print out, give to fluoro techs, follow up, file, track- 12 per year).

Data and Recordkeeping:

  • Coordinates all required electronic recordkeeping and data services for the fellowship and medical student programs.

  • Manages MedHub, software required by the GME office for fellowship reporting, software for evaluations, and all other necessary reporting tools as may be required by the University or national accreditation boards.

  • Manages hard copy and electronic files of fellows who enter or leave the program, and responds to all requests for confirmation of fellowship or letters of reference.

*Continuing Medical Education: *

  • Manages all aspects of the CME program within the Department of Radiology for faculty, residents, fellows and medical students.

Reports & Projects:

  • Prepares reports for the Department or others to satisfy needs such as ACGME studies, program reviews, retreats, audits or any other request.

  • Monitors and document fellow PQI project.

  • Tracks and documents fellow research project (coordinate with research assistant).

Fiscal Management:

  • All financial management activities are under the overall direction of the Department Director of Finance and Administration, who has responsibility for departmental funds, serves as the fund administrator and overall approving official. Within these parameters, the Fellowship Coordinator will complete funding forms for ACGME fellows paid through GME.

Policy Coordination and Compliance:

  • Administers pertinent State fiscal polices, State and UCD rules and procedures, and State and Federal laws and standards applicable to the fellowships or business management. Also administers pertinent Graduate Medical Education policies, including rules and regulations promulgated by the national boards for fellowship review committees. The Coordinator must comply with all program and fiscal policies related to fellowship needs at all the training site locations.

Fellowship Program Administration:

  • Provides logistical support and manages the CCC (clinical competency committee) meeting set up (email, send invite) quarterly.

  • Provides logistical support and manages the PEC (program eval committee) meeting set up quarterly.

  • Manages the fellow core lecture series schedule and fellow lecture schedule (fellow’s lecture to residents, faculty, technologists – each give one per year).

  • Manages the fellow NICU round schedule (daily).

  • Tracks fellow multidisciplinary conference schedule attendance.

  • Organizes and tracks the fellow NAT trial experience (coordinate with faculty testifying so that each fellow observes at least one).

  • Schedules and tracks fellow journal club participation with faculty.

  • Schedules and tracks fellow participation in Vascular malformation clinic (these are held twice per month, ideal to have one fellow rotate on each).

  • Tracks fellow participation in multidisciplinary conferences (so evenly distributed) including patients entered into IRIS teaching file (including pathology for rad-path conferences).

  • Tracks fellow participation in maternal fetal medicine multidisciplinary conference (while on fetal rotation, to ensure fellow has experience with variety of cases).

  • Follows up with each fellow for their choice of mentor, assists in organizing mentor quarterly meetings.

  • For residents, organizes curriculum lecture series while at CHCO, schedule mid review and end oral exam for each of 3 residents each 4 week block.

_Minimum Qualifications:_

  • A bachelor’s degree in education, psychology, business, public administration, health care, educational technology, social science, liberal arts, communications, accounting, finance, library science, or a directly related field from an accredited institution.

  • Two (2) years of experience supporting an educational program, which included recruitment and financial responsibilities.

Substitution: A combination of education and related technical/paraprofessional experience may be substituted for the bachelor’s degree on a year for year basis.

_Preferred Qualifications:_

  • Experience working in an academic medicine practice a plus.

_Competencies/Knowledge, Skills, and Abilities:_

  • Knowledge of, or ability to become fully competent in computer programs essential to the Fellowship and residency programs, including Microsoft Suite (Work, Excel, PowerPoint, Outlook), and Medhub. Software used will continue to change so adaptability to new electronic programs and tools is essential.

  • Know and/or able to learn, to maintain databases in Microsoft Access.

  • Ability to manipulate web based report systems.

  • Excellent organizational skills, with ability to plan and organize fellow and medical student needs and activities, establish work priorities and provide follow through to ensure completion of all activities.

  • Great attention to detail.

  • Ability to work with fellows, medical students and faculty in a competent and professional manner.

  • Ability to understand and apply regulatory requirements at the program level.

  • Ability to communicate effectively with administrative personnel, physicians and other program personnel, trainee/prospective trainees, staff and other constituents, in written communications, and oral presentations.
