Job Title: Grant Specialist (Senior – Principal Level)

Job Summary:

Key Responsibilities:

  • Develops proposal budgets and routing documents in partnership with the Principal Investigators and Research Manager.

  • Creates proposal in InfoEd system and submits for internal review and approval.

  • After reviewing Office of Grants and Contracts markup, edits proposals, and gathers final documents from Principal Investigator. Ensures adherence to internal and funding agency guidelines.

  • Submits final proposal to the Office of Grants and Contracts (OGC) for submission to sponsor no later than internal OGC deadline.

  • Responsible for the coordination of all follow-up responses to the proposal and requests for action in the ERA commons (e.g., Just-In-Time, Conflict of Interest, Statements of Appointments, Final Invention Statement).

  • Prepares sponsor and institutional forms prior to submission deadlines, including assurance numbers, internal and external budgets, F&A calculations, compliance documentation, sub-recipient agreements for subcontracts, scope of work documents, and budget justifications.

  • Coordinates the transfer of sponsored projects when a PI transfers to the University of Colorado.

  • Transitions funded projects from pre- to post-award in an organized and collaborative process.

  • Monitors and proactively communicates progress report deadlines. Reminds faculty of progress report deadlines, instructions, and processes. Prepares materials for non-competing renewals in OGC's platform (currently Formstack) and ensures timely submission.

  • Works collaboratively with the Office of Grants and Contracts (OGC) and the setup team to ensure the award setup accurately reflects the terms and conditions of the award as well as anticipated spending; request appropriate rebudgeting from OGC and/or sponsor when required.

  • Analyzes and evaluates awarded proposals, and contracts, which may include subcontracts for compliance with funding agency, federal, state, and university requirements. Prepare documentation for OGC to draft subcontracts, monitor execution and set-up. Handle invoicing and compliance.

  • Coordinates receipt of awards and contract documentation; maintains proposal and funding records in database systems, and prepares scheduled and special reports, studies, and analyses.

  • Works with Research Manager to develop and implement funding announcement cycle reminders with internal deadlines and checklists.

  • Funding allocation update and process payroll adjustments as needed.

  • PO/SPO administration for research.

  • Participates and/or assists in special projects, and performs other associated administrative duties, as assigned.

  • Prepares and processes expense reimbursements in accordance with rules and regulations.

  • Serves as department research fixed asset contact; conducts annual inventory, updates equipment lists and the annual Webspace submission.

  • Managing CU Medicine Med Legal Contracts and Invoice Reconciliation.

Minimum Qualifications:

Senior Level:

  • A bachelor's degree in accounting, finance, public health, public administration, social/behavioral sciences, physical sciences, nursing, healthcare, business administration, business, or a directly related field from an accredited institution.

  • Two (2) years of professional level experience in a pre- and post-award capacity related to sponsored project administration and management.

Principal Level:

  • A bachelor's degree in accounting, finance, public health, public administration, social/behavioral sciences, physical sciences, nursing, healthcare, business administration, business, or a directly related field from an accredited institution.

  • Three (3) years of professional level experience in a pre- and post-award capacity related to sponsored project administration and management.

  • A combination of education and related technical/paraprofessional experience may be substituted for the bachelor's degree on a year for year basis. A master's degree in a directly related field from an accredited institution may be substituted for up to two (2) years of experience.

Applicants must meet minimum qualifications at the time of hire.

Preferred Qualifications:

  • Experience in pre/post-award contracts and grant administrations in an academic setting.

  • Experience or familiarity with CU Data, A2E, HCM and CU Marketplace.

  • Experience in interpreting and applying policies from a variety of funding structures (federal, state, foundation, and institutional) and serving as a resource to others.

  • Experience working in an academic medical center.

  • Experience with NIH grant submissions.

  • Experience working with PeopleSoft HRMS and/or Finance.

  • Experience using integrated accounting, purchasing, and payroll systems.
