The Marcus Institute for Brain Health (MIBH) at the University of Colorado Anschutz Medical Campus is a clinical care and research institute for Traumatic Brain Injury (TBI) and Psychological Health (PH) conditions such as post-traumatic stress, depression, and anxiety. The primary focus of the MIBH is to care for former military personnel who have separated from active duty, with special consideration for those who were separated with “Other Than Honorable” or “Dishonorable” discharge status due to TBI or PH conditions. The MIBH also serves civilian adults who have sustained mild to moderate TBI, and are experiencing ongoing neurological problems and co-morbid PH conditions. The MIBH offers intensive outpatient care with detailed diagnostic and treatment services within an Intensive Outpatient Program (IOP) that integrates conventional with complementary and alternative medicine, utilizing an interdisciplinary team model.

This position focuses on clinical coordination for patient relations related to University of Colorado. Marcus Institute for Brain Health (MIBH) clinicians and affiliates as well as a minor support role in the business administration of MIBH. The major functions of this position are to provide high-level operational and technical support for clinical and clinical administrative teams to ensure goal achievements. This position will take the lead on complex projects within the Marcus Institute for Brain Health that will facilitate processes according to CU and SOM policies and procedures. This role will maintain complete documentation for all project plans, timelines, and scope documents.

Admissions Coordinator Lead Responsibilities:

  • Attend Clinical Decision Team (CDT) and relay information to potential MIBH patients.

  • Develop and maintain a community referral resource database for patients not appropriate for MIBH program.

  • Coordinate and track referrals to other veteran and partner programs.

  • Complete medical record reviews of all incoming medical records.

  • Notify and coordinate all pre-evaluation logistics with approved patients.

  • Monitor and track progress with any CDT recommended medical work-up (ie: MRI), treatment (i.e.: substance abuse), or additional records, prior to scheduling patient for evaluation.

  • Assist with patient orientations.

  • Support research team with arrangements of patients participating in research studies.

  • Work closely with Clinical Navigator to further develop and implement the program intake process.

  • Provide support for the development of clinical office operating procedures, forms, policies and processes.

Admissions Coordinator Assist Responsibilities:

  • Backup as needed to answer/triage incoming calls to the main TBI line.

  • Backup as needed to ensure all required documentation and intake paperwork has been received from prospective patients.

  • Obtain necessary medical records for all prospective patients as needed.

  • Backup and assist Clinical Navigator prepare and cover meetings as needed.

Salary and Benefits:

The salary range for this position is commensurate with skills and experience. This position is not eligible for overtime compensation.

A bachelor’s degree in biological science, nutrition, nursing, health, human services, psychology, counseling, social work, or a directly related field from an accredited institution.

Three (3) or more years:

  • Experience working in clinical administrative operations

  • Experience working in higher education and/or medical center environment.

  • Experience developing policies and procedures.

Substitution:A combination of education and related technical/paraprofessional experience may be substituted for the bachelor’s degree on a year for year basis.

Preferred Qualifications:

  • Knowledge of military culture

  • Knowledge of neurology, TBI and/or rehab

  • Experience using EPIC, REDCap and Formstack
