Front Desk Reception (50%)

  • Provide front desk reception support to the Specialty Clinics which includes the General Practice Residency Program, Graduate Periodontal Program, Oral Surgery Department, Emergency Clinic, and Special Care Clinic.

Scheduling & Clinic Assistance (50%)

  • Receive and greet patients, sales representatives, providers, staff, and visitors in a professional manner.

  • Monitor patient check-in and check-out.

  • Facilitates efficient and professional patient/resident/faculty interaction.

  • Manages all scheduling for all appointments in the various clinics.

Minimum Qualifications:

Administrative Assistant II

  • Two years of general clerical or administrative experience.

  • Substitution : Appropriate education will substitute for the required experience on a year-for-year basis.

Applicants must meet minimum qualifications at the time of hire.

Preferred Qualifications:

  • Minimum of 2 years of administrative experience in a healthcare or clinical setting.

  • Previous experience in managing patient check-in, paperwork, and directing patients to appropriate clinics, programs, departments, and/or students.

  • Experience using electronic health records (EHR) systems and other relevant software applications.

Knowledge, Skills, and Abilities:

  • Medical Terminology: Proficient understanding of medical terminology to effectively communicate with healthcare professionals and comprehend medical documents and records.

  • Electronic Health Records (EHR): Experience in working with electronic health record systems and ability to navigate and update patient information accurately and efficiently.

  • Patient Interaction: Ability to interact with patients in a compassionate, professional, and empathetic manner, ensuring their comfort and addressing their concerns effectively.

  • Administrative Skills: Strong organizational and time management skills to handle multiple tasks, manage paperwork, schedule appointments, and prioritize responsibilities in a fast-paced healthcare environment.

  • Confidentiality: Knowledge of HIPAA regulations and commitment to maintaining patient confidentiality and safeguarding sensitive medical information.

  • Communication: Excellent verbal and written communication skills to effectively communicate with healthcare professionals, patients, and other administrative staff.

  • Attention to Detail: Keen attention to detail to accurately complete paperwork, record information, and ensure all necessary documentation is in order.

  • Problem Solving: Ability to identify issues, think critically, and proactively find solutions to administrative challenges that may arise in a healthcare setting.

  • Teamwork: Collaboration and cooperation with healthcare professionals and other administrative staff to support the smooth functioning of the healthcare facility.

  • Technology Skills: Proficiency in using relevant software applications such as Microsoft Office Suite (Word, Excel, PowerPoint), scheduling software, and other healthcare-specific systems or databases.
