Job Summary

The Division of Continuing Education welcomes applications for a Marketing Coordinator. The Division of Continuing Education extends the resources of the University of Colorado Boulder by providing programming and learning opportunities to a wide range of students. This is a full time, professional position that reports to the director for marketing in the Division of Continuing Education (CE). The Marketing Coordinator is responsible for organizing all CE Marketing projects. The Marketing Coordinator works with the Marketing Manager and the director to provide reliable structure to team projects for seamless project management from project kick-off to completion. The Marketing Coordinator is expected to handle most of the project management details involved in advancing the marketing efforts of CE. General responsibilities include; development and maintenance of a project job tracking system; coordination and delivery of all CE associated advertising; regular updating and coordination of the production schedule for the CE website semester content updates; coordination with the Marketing Manager to set and adjust daily priorities for the team.

What Your Key Responsibilities Will Be

Project Coordination

  • Responsible for the intake of new marketing project requests.

  • This involves coordinating with program managers and the Marketing Manager to ensure all information needed for the Marketing Department to kick a project off is accounted for.

  • Develop processes for intake and determine how processes will intersect with a marketing project job tracking system.

Project Maintenance

  • Responsible for the development and maintenance of a project job tracking system.

  • Establish and support the team’s project information needs to ensure consistency of projects semester to semester/year over year, the establishment and maintenance of project calendars, and the maintenance of relevant files for the team’s day to day use.

Marketing Coordination

  • Resolve and escalate changes in information, timing and other variables necessary for a project’s completion, in consultation with the Marketing team.

  • Regularly coordinate with the Marketing team, specifically the Marketing Manager, to decide how and when to set and adjust priorities for the team, as necessary.

  • This involves the active use of marketing and communication best practices to determine and decide on the appropriate level of priority to set for marketing projects.


  • Responsible for the coordination and management of advertising for CE and its associated programs.

  • Maintain an advertising calendar and a record of advertising specs by channel. Coordinate the timely delivery of production ready files to vendors, partners and other stakeholders.

  • Use knowledge of CE and marketing best practices to determine which ads will be appropriate for placement in the wide array of advertising channels and a broad set of audiences the Division is responsible for.

  • Tracking and timely payment of incoming invoices related to advertising.


  • Responsible for updating and coordinating the production schedule for semester over semester website updates.

  • Hold team members accountable to the established deadlines of that production schedule.

Software Management

  • Partners with OIT to ensure software necessary for the marketing team to operate efficiently is up to date and working properly including the use of Adobe Creative cloud.

  • Assume working knowledge of the associated software and how that software is used by marketing teams to produce its work.

  • Maintain digital and physical archives of completed projects for future reference and use, following best practices for marketing and communication teams.

The salary range starts at $50,000.

What We Require

  • Bachelors degree in journalism, communications, marketing, or a related field with a minimum of 2 years of successful project and/or program coordination required.

  • Project management experience in marketing, communications, and/or event management including the ability to set and meet deadlines and track project progress and the communication of scheduling challenges.

  • Experience with the process of web publication and Content Management Systems.

  • Demonstrated working knowledge of Microsoft Office.

What You Will Need

  • Excellent written and verbal communication skills.

  • Management of projects related to communication, marketing and/or design work.

  • Excellent organizational skills related to marketing project coordination.

  • Excellent verbal and written communication skills, including the ability to synthesize information in a clear and concise manner, both verbally and in writing.

  • Experience with complex administrative responsibilities in a setting that requires flexibility, customer service skills, ability to learn and respond quickly.

  • Demonstrated ability to work within time and budget restraints.

What We Would Like You To Have

  • Experience with the marketing and communications of adult education or higher education.

  • Experience using project management software to organize a small team of communication/marketing professionals.

  • Work experience in an ad/graphic design agency.

  • Experience coordinating schedules, creative and production of print and digital advertising.

  • Event or trade show experience.

  • Print production coordination.
