Job Summary

This front-line staff position exists to provide reception, technical, and clerical support for the department’s administrative office; and provides assistance to the Chair, Associate Chairs, faculty, and staff. This position handles a large volume of phone calls and emails, and assists faculty members, staff, students and the public on a walk-in basis by providing accurate and informative answers. Additionally, this position oversees departmental communication including our website and publicity, as well as event oversight. By managing both operations and communications, this position serves as the nexus between staff, department l, undergraduate program, graduate program, and creative writing program.

What Your Key Responsibilities Will Be

Operational and Administrative Support

  • Perform specific clerical duties for administrators, faculty and staff members. Clerical duties include, but are not limited to:

  • Handle large volume of phone calls; provides the caller with general information or redirects the call to the appropriate person.

  • Provide faculty members, students and visitors to the department with general information on a walk-in basis.

  • Supervise 1-2 student employees who will assist with front desk duties and some communication duties (social media, newsletter, website, etc.).

  • Responsible for filing (updating, creating new, purging old), scanning documents for electronic files, handling incoming and outgoing mail, maintaining department mail boxes, ordering office supplies, managing the department general email, managing department list serves and fileshare, and running department errands as necessary.

  • Provide administrative support for faculty member searches and faculty affairs issues, post course cancellation and room change signs, compile and update office hours/locations/contact information for faculty members and instructors.

  • Assist faculty members, instructors, and graduate students with the operation of the copier and fax machines.

  • Oversee and controls the check out and return of department AV equipment.

  • Serves as administrator of the English Faculty Computer Purchase Program (FCPP).

  • Maintain accurate inventory of room keys for all the department’s master keys, faculty offices and classroom keys. Serves as Key and CCURE Liaison.

  • Serve as FCQ Coordinator, Parking Liaison, OIT and Phone Liaison, Fac Man contact, and Denison Building Proctor.

  • Assist with ad hoc projects.

Communications

  • Maintain department website.

  • Add important dates and associated campus events.

  • Add new content to home page, current students page, creative writing page, literature page, courses page, our people page, apply page, and prospective students page as needed.

  • Add new content to donor page, featured alumni or alumni news at least four times per year.

  • Write or secure two new articles per year that feature an English Department faculty member or activity/achievement, which can be posted on the news and announcements section of the homepage, and can be shared with Arts and Sciences Communications for college level publication.

  • Oversee social media.

  • Serve as the primary account holder for the department’s social media accounts. Communicate with necessary stakeholders to maintain accounts, resolve service issues, and secure new followers.

  • Post new content (student recruitment, admissions, donor development and cultivation, department accomplishments) to accounts at least twice per month.

  • Oversee large mailings for the department, which involves the use of merge and duplicate form letter function. Maintain and update mailing database.

  • Create special event fliers, handouts, and invitations for departmental events, seminars, visiting speakers, etc.

  • Assist with the creation and publication of the alumni newsletter (twice per year).

  • Publish weekly faculty newsletter.

  • Maintain publication archives, including photos, videos, images, logos, and marketing materials.

Event Support

  • Assist with planning department events.

  • Create special event fliers, handouts, and invitations for departmental events, seminars, visiting speakers, etc.

  • Assist with event logistics such as room scheduling, catering, AV needs, event photography, etc.

Anticipated starting salary is $42,336.00, commensurate with experience.

What We Require

  • Three years of general clerical experience.

  • Experience with web design and/or graphic design.

  • Must be a current Colorado resident.

What You Will Need

  • Ability to work independently and with responsibility for initiating and completing tasks.

  • Ability to communicate effectively both orally and in writing, with a variety of professionals, administrators, and students while maintaining a high level of customer service.

  • Demonstrated ability to work effectively on a team and within collaborative work situations.

What We Would Like You To Have

  • Bachelor’s or Master's degree from an accredited institution in Marketing, Communications, Journalism, Creative Writing or a related field.

  • 2-3 years of Higher Education experience.

  • Proficient computer knowledge and skills with Adobe Acrobat Pro, Photoshop, and Illustrator.

  • Knowledge of a variety of formats, styles, and techniques for publishing and editing materials.

  • Expertise with web design and maintenance, specifically with Web Express.

  • Proficient user of all MS Office software, including MS Word, MS Excel, Outlook, and Calendar.
