The University of Colorado Boulder invites applications for a Scholarships Processing Specialist! Scholarship Services is part of the Enrollment Management unit, where we support recruitment and student success efforts of the campus by utilizing federal, state, institutional and private funding to maintain access to an education and ensure aid policies support retention, graduation, and diversity goals. This full-time position reports to the Coordinator of Scholarship Services (Processing) and is part of a scholarship processing team that provides organizational, operational, and administrative support for the Office of Scholarship Services. Primary job duties include the accurate and timely processing of institutional and private scholarship funds, a variety of processing tasks related to student aid eligibility, customer service, and supporting the office as needed. This position maintains a thorough and current working knowledge of all Title IV federal, State of Colorado, and institutional rules, regulations and procedures to ensure accurate release of information and program compliance. Who We Are

The Office of Scholarship Services is a unit within the Student Financial Services Division of Enrollment Management, working alongside the Office of Financial Aid, and the Bursar's Office. Our team is responsible for optimizing scholarship resources to enhance affordability and equity for our student population. We work with campus partners and external partners to ensure compliance with scholarship donor intent. We are dedicated to increasing access to higher education and recognizing scholarly merit by facilitating the awarding of scholarships from over 1,100 unique funds. By collaborating with campus and external partners, we empower students to reach their fullest potential as part of the CU community.

What Your Key Responsibilities Will Be

Processing:

  • Process private scholarship checks as well as institutional department scholarships.

  • Provide processing support to the special scholarship programs managed in Scholarship Services.

  • Verify the accuracy of processed transactions and fund disbursals.

  • Process donor refunds when necessary due to student non-attendance, ineligibility, etc.

  • Develop and maintain the requisite tracking systems to ensure the smooth and efficient processing of these scholarships.

  • Write, review, and keep up-to-date the positions policies and procedures.

  • Serve as a resource to interpret and explain scholarship administration and financial aid program-specific policies and processes to university schools, colleges and departments, private scholarship donors, outside agencies, and high schools.

  • Verify student enrollment, financial aid status, and student eligibility for scholarship awards to ensure compliance with scholarship criteria.

  • Provide analysis of students financial need to scholarship donors and departments upon request, following FERPA guidelines.

  • Adjust private scholarship awards as needed to comply with donor requirements and financial aid regulations.

  • Process verification of cost of attendance and verification of financial aid offers for external organizations.

  • Serve as trainer and lead worker for temporary personnel assisting with scholarship check processing.

Customer Service:

  • Provide customer service to students, parents, donors and other university staff in response to questions related to private and institutional scholarships.

  • Collaborate effectively with staff in Student Finance to ensure accurate processing and application of scholarships received by that office.

  • Advise students and families on application processes, important timelines, types of aid, eligibility requirements, financing options and other resources available.

  • Exercise professional judgment when students or their families have unusual financial circumstances to determine additional eligibility.

  • Adjust awards as necessary to reflect students enrollment and eligibility.

  • Continually assess customer service and proactively identify and address issues that may impede quality service.

Program Management:

  • Develop and maintain liaison relationships with a variety of private scholarship programs to provide counseling for student recipients, donor relations, financial reconciliation, and reporting.

  • Manage fund reconciliation of assigned scholarship programs throughout the year.

  • Request academic transcripts from Office of the Registrar and send to scholarship programs, when necessary to verify continuing eligibility.

  • Other duties as assigned.

Professional Development:

  • Collaborate with immediate supervisor to determine areas for professional growth. Identify and request appropriate training opportunities offered by the office, the University, and through various professional associations or organizations.

  • Participate in external and internal trainings, conferences, webinars etc. related to administering scholarships and all other types of financial aid.

  • Attend staff meetings, retreats and other meetings as assigned. May include representing the Office of Scholarship Services in enrollment management and campus-level initiatives.

This position reports to the Coordinator of Scholarship Services (Processing) and does not supervise staff, but may assist in the supervision of student and other temporary employees.

  • The salary range for this position is $49,000 - $55,000 per year.

  • Bachelors degree from an accredited college or university is required. Equivalent combination of education and experience may substitute.
