University of Colorado Associate Director Housing Operations in Colorado Springs, Colorado

The purpose of Housing Operations is to offer a living environment that will be an integral part of the educational experience offered at the University of Colorado at Colorado Springs. The UCCS residential facilities should provide an atmosphere that is conducive to study, as well as social interaction and individual development.

The Associate Director for Housing Operations (ADHO) is a member of the residential life leadership team. Collectively, and under the direction of the Director of Housing Operations, the team is responsible for the overall administration of Housing Operations, a one thousand, seven-hundred bed residential facility for the University of Colorado at Colorado Springs. The ADHO is responsible for supervision and oversight of general office administration and software management. The ADHO assists with facility management and construction projects in conjunction with Physical Plant Operations for fifteen residential buildings and two dining facilities. Summer housing, guest services, and desk operations are also managed by the ADHO. The ADHO serves as liaison to campus departments including admissions, recruitment, financial aid, student accounts, athletics and other Student Success and Academic Departments.

The ADHO has authority to act in absence of the Director of Housing Operations.

The ADHO must possess qualities that both understand the importance of Student Development concepts and implementation in an ethical way. Must act in a fiscally responsible manner and have a clear understanding of the budget.

Job Duties:

/Major Housing Operations/

  • Act as spokesperson for the department in absence of the Director of Housing Operations.

  • Assist the Director with the management of overall budget and advise on revenue projections, monitor expenses.

  • Coordinate the ongoing housing application/exemption process and the annual housing renewal process.

  • Facilitate all housing room assignments and oversee the room change process.

  • Coordinate and evaluate accommodation requests with Disability Student Services, University Counseling Center, Student Health Services and Dining and Food Services.

  • Coordinate and oversee the move-in process for all housing areas for Fall, Spring, and Summer semesters.

  • Manage housing overflow process as needed.

  • Coordinate all housing software implementation for housing database management, conduct management, housing maintenance, program/curriculum tracking, Student Response Team tracking.

  • Act as housing software administrator and trainer, including software maintenance and updates, maintaining software parameters, work with UCCS and CU IT (University Information Systems) to ensure security and hold training classes for all housing, maintenance, and Dean of Students personnel.

  • Assist with planning and training of student staff (Resident Assistants, Conference Assistants, Front Desk Assistants).

  • Manage all housing software reports, in coordination with the needs of all campus constituents. Coordinate the delivery of weekly application and housing numbers reports.

  • Oversight of off campus housing posting procedures, information and software.

  • Assure that all financial policies and procedures are followed as dictated by the University System.

  • Conduct room inspections at the end of each term.

  • Coordinate billing process for term charges, common area damage charges, damage charges assessed upon check out of residents, as well as deposit refunds, forfeitures and early arrival/winter break housing charges.

  • Oversee the early arrival/late departure process for students needing to move in early and/or move out late.

  • Oversee miscellaneous billing to student accounts for accuracy.

  • Oversee the non-enrollment and resident "no-show" management and contacts.

  • Manage all housing-related technology, including management of the Housing website in association with Information Technology and Auxiliary Marketing.

  • Oversee the meal plan loading/removing process, to include billing, one card management, and general meal plan tracking.

  • Provide information and customer service to residents and parents and guardians as limited by federal and state laws.

  • Participate in yearly review of the housing handbook and formulate rules and procedures as appropriate for operations.

  • Participate in weekly staff meetings and disseminate information as appropriate.

  • Coordinate the printing of all office forms and marketing information.

/Facility Management/

  • Monitor work orders and maintain records and reports of maintenance issues.

  • Oversee communication with residents regarding large scale projects.

  • Work order follow up and general customer service with residents.

  • Monitor buildings for cleanliness and repair.

  • Assess common area damage charges and monitor repair.

  • Assure key control of suites/apartment/rooms.

  • Maintain vacancy reports in conjunction with RHM.

  • Maintain room and post office box logs with lock and key codes.

  • Advice in the purchasing of approved supplies as needed for transition of term to summer and back for custodial/maintenance needs.

  • Advise and advocate for additional equipment or new supplies as needed.

  • Serve as department representation on major renovations and new construction.

  • Coordinate with IT, University Center, Dining and Hospitality Services, and Auxiliary Accounting in "One Card" administration.

/Summer Housing and Conferencing/

  • Plan and coordinate the logistical aspects of summer housing program for UCCS students.

  • Coordinate the summer housing needs for student interns from other higher education institutions, as well as general short-term summer guest housing.

  • Supervise and oversee all transitional elements as it pertains to the change over from academic year housing to the summer conferencing program.

  • Assist with all major renovation projects as well as daily and deferred maintenance.

  • Coordinate and initiate contracts, billing and base accounting functions.

/Ancillary Responsibilities/

  • Provide an additional in-house resource for community development and programming using the Residential Curriculum model.

  • Establish and maintain positive prostaff and student staff relationships.

  • Serve on campus committees as they promote the department or foster excellence in the university community.

  • Serve as second hearing officer for University conduct cases occasionally

  • All other duties that are assigned by the Director and Executive Director.

This position has been determined to be exempt from the overtime provisions of the Fair Labor Standards Act (FLSA).

Salary Range: $59,000 - $63,000

_Minimum Requirements_:

  • Bachelor’s degree in higher education administration, business administration, or related field.

  • Five years of experience in student services functions in higher education.

  • Three years of proficiency in software management and development.

  • Three years plus working in Residence Life and Housing.
