The College of Arts & Media, Dean’s Office is currently seeking applications for a full-time temporary Office Assistant .

College of Arts & Media

As the first college in Colorado devoted exclusively to arts and entertainment, the College of Arts & Media understands the influence of modern trends on traditional art forms. We combine the latest technology with traditional methods, and we encourage our students to incorporate their discoveries of art's emerging dimensions with our comprehensive instruction on its classical forms. The college has three distinct departments, Music & Entertainment Industries Studies (MEIS), Film & Television FITV) and Visual Arts (VA). The MEIS Department primarily focuses on commercial music styles. Students are given the option to choose from four distinct emphasis areas of study: Performance, Singer/ Songwriter, Music Business, and Recording Arts. The Department of FITV offers students the opportunity to become knowledgeable about working in both Theatre and Film while delving into their special area of interest. The Department of VA offers degree emphasis areas in Visual Arts include Art History, Digital Animation, Digital Design, Painting and Drawing, Illustration, Photography, and Transmedia-Sculpture.

Position Emphasis/Nature of Work:

This is a 9-month Temporary Employee position, it will end no later than 9 months from the start date.

The Office Assistant is the first point of contact in the office and is responsible for: greeting all visitors, answering phones, responding to inquiries, performing general office duties, providing support to students, staff/faculty, and guests of the CAM’s Dean’s Office, and will be required to work Monday-Friday, 8am-5pm.

Specific Duties:

  • Present a professional, helpful atmosphere and positive attitude

  • Assist students, staff/faculty, and guests of the Dean’s Office; to include, provide customer service, greet visitors in the lobby, answer incoming calls, and direct as needed and/or provide appropriate information and successful resolution of routine administrative issues.

  • Respond to and triage incoming inquiries, via multiple platforms.

  • Provide support to the CAM advising team such as scheduling advising appointments, check-in students for appointments as well as drop-in hours, answer questions regarding academic calendar timelines and deadlines, manage student files, maintain student confidentiality.

  • Assign lockers to CAM students at the beginning of each term, maintain accurate tracking of locker assignments, clean lockers, and reassign locks at the end of each term.

  • Maintain office supplies by ordering, purchasing, and charging items appropriately.

  • Ensure kitchen and common areas are in order and clean.

  • Prepare outgoing mail; sort and distribute incoming mail and packages in a timely manner.

  • Scan/maintain/archive database of electronic advising sheets, sample schedules, and various advising handouts/forms.

  • Ensure data is collected regarding phone calls and visitors.

  • Place AHEC work orders for the Dean’s Office.

  • Maintain an orderly mail/copier room. Ensure copier materials (paper and ink) are stocked.

  • General administrative support to staff.

  • Coordinate various assigned, time sensitive, projects and ensure completion; to include: the creation and utilization of spreadsheets and other tracking functions to adhere to project timelines.

  • Establish documented processes for special projects.

  • Other duties as assigned and needed by the Dean’s suite.

Minimum Qualifications:

  • Bachelor’s Degree in office administration, business administration, or a related field.

Substitution: A combination of years and college level education may be substituted on a year-for-year basis for the 4-year degree. Experience used to satisfy the degree substitution cannot also be used to satisfy the below 1 year of professional level experience requirement.

  • 1 year of professional level experience working in an office, administrative type setting

Conditions of Employment:

  • Must be willing and able to successfully pass a national criminal background check.

  • Must be willing and able to work Monday-Friday, 8am-5pm.

Preferred Qualifications:

  • Experience working within higher education.

  • Experience providing customer service in an office and/or administrative setting.

  • Experience working with technology and data management.
